Converting Adobe PDF to editable Microsoft Word document
1. Open the PDF file you wish to convert.
2. In Adobe Acrobat Professional, select Document > OCR text Recognition > Recognize text using OCR.
3. Select All Pages.
4. Click the Edit button. Acrobat will present you with the Recognize Text Settings dialog box and select the options you want to use.
Primary OCR Language
Specifies the language for the OCR engine to use to identify the characters.
Determines the type of PDF to be produced. All options require an input resolution of 72 ppi or higher (recommended). All formats apply OCR and font and page recognition to the text images and convert them to normal text.
Ensures that text is searchable and selectable. This option keeps the original image, unskews it as needed, and places an invisible text layer over it. The selection for Downsample Images in this same dialog box determines whether or not the image will be downsampled and to what extent.
Searchable Image (Exact)
Ensures that text is searchable and selectable. This option keeps the original image and places an invisible text layer over it. Recommended for cases requiring maximum fidelity to the original image.
Formatted Text & Graphics
Reconstructs the original page using recognized text, fonts, and graphic elements. The accuracy of the results depend on the scanning resolution and other factors. You may need to review and correct the OCR text in the new PDF page after scanning.
Decreases the number of pixels in color, grayscale, and monochrome images after OCR is complete. Choose the degree of downsampling that you want to apply. Higher-numbered options do less downsampling, producing higher-resolution PDFs.
5. Click OK twice to start the optical character recognition (OCR) process.
6. Select on Tools > Select & Zoom > Select Tool.
7. Highlight the text you want to edit and then click on Edit > Copy.
8. Launch Microsoft Word and then paste the text by clicking on Edit > Paste .
This procedure does not apply to images. Images need to be copied separately to the Word document. Though there are other ways to convert a PDF file to a Word document, these steps allow you to edit the text in Word without the restrictions of text boxes.
Note: When you save a PDF to Word format, the resulting file isn't equivalent to a file created in Word; some coding information may be lost such as font type, formatting, layout and styles.
